Privacy and image use policy

Welcome to the Gabanon Hostel website and online services!

Pursuant to Article 13 of EU Regulation 2016/679, the processing of your personal data and that of the minor you accompany (including sensitive data) will be carried out with fairness and transparency, for lawful purposes, and safeguarding your privacy, rights, and those of the minor.

The processing will be carried out in written form and/or on magnetic, electronic, and telematic support for the following purposes:

    1. to fulfill the legal obligation requiring us to register and report the personal details of lodged guests to the local public security authority;
    1. to fulfill current administrative, accounting, and tax obligations;
    1. to execute pre-contractual measures (in relation to information requests and quotations) or contractual measures (in relation to the hospitality service);
    1. to perform the function of receiving messages and phone calls addressed to you or the minor, and to carry out services in the interest of both;
    1. to expedite registration procedures in case of subsequent stays at our accommodation facility;
    1. if applicable, upon specific consent, to send promotional messages and updates on our rates and offers;
    1. if applicable, upon specific consent, to carry out the booking procedures and provision of our ancillary services (for example, padel courts, e-bikes).

We also wish to inform you that:

  • • Providing your data and that of the minor for the processing referred to in points 1, 2, and 3 is essential to enable accommodation at our facility;
  • • Providing and processing, however, of all data referred to in points 4, 5, 6 and 7, which are not related to legal and contractual obligations, is optional and, with regard to the processing referred to in points 6 and 7, carried out with the consent of the data subject.

With reference to the aforementioned data, without prejudice to communications made in compliance with legal obligations, they may be processed:

  • • By our staff, as authorized and responsible personnel, for commercial purposes;
  • • By our staff, as authorized and responsible personnel, for administrative purposes, credit management, and document storage;
  • • By the software company designated by Gabanon Hostel for management assistance purposes.

The data may also be communicated:

  • • To consultants and professionals for administrative, tax, and financial purposes in the execution of all obligations required by current regulations, and for management control;
  • • To credit institutions and service companies designated for purposes related to potential payments;
  • • To certain companies for them to use, as independent data controllers, for booking padel courts and/or other services related to the accomodation facility.

The data will be processed for the entire duration of the contractual relationships established and also subsequently for the time necessary to fulfill legal obligations, and in any case, not longer than ten years from their collection. In other cases, data will be retained for two years from their collection.

We may communicate personal data outside the country of residence, including non-EU countries, to comply with a judicial order or to meet other legal or regulatory requirements.

In managing personal data, we adopt appropriate and specifically designed measures to protect information from unauthorized access, loss, misuse, disclosure, alteration, or destruction. Optional consent may still be revoked later by objecting to the processing.

Our facility uses a video-surveillance system to protect people, property, and company assets. Monitored areas are identifiable by specific signs. Consent is not required for this processing as it serves our legitimate interest in protecting people and property from possible aggression, theft, robbery, damage, vandalism, and for fire prevention and workplace safety purposes. Recorded images are deleted after 24/48 hours. They are not communicated to third parties except in cases where it is necessary to comply with specific investigative requests from the judicial or police authorities.

For any further information and to exercise the rights granted by Article 15 of the GDPR, please contact the Data Controller, asserting, where applicable, the right to rectification, the right to erasure, the right to restriction of processing, and the right to data portability.
